Importing Custom Letter Templates

You can import a variety of document formats to Correspondence Manager. If an imported document contains stationery (such as custom style, images, tables, and links), the stationery is also imported. The following document formats can be imported:

    .doc .docx .htm
    .html .mht .mhtl
    .rtf .txt .wps

To import a custom letter template, do the following:

  1. Close the document you are planning to import, if needed.
  2. Select the tax year and return type from the available lists in the left pane of the Correspondence Manager window, and then click.
  3. If the library section is not expanded, click the Letter Template Library navigation bar in the left pane.
  4. Select the letter type for the imported document in the Letter Template Library.
  5. Select Import,, on the Application menu or the Quick Access Toolbar to display the Open window.
  6. Browse to and double-click the document to display it in the Word pane in a single free flow text content control.
  7. Edit the imported document text in the Word pane and add keywords, as needed.
  8. Do the following to save the imported document as a letter template:
    1. Click Save on the Letters tab to save the imported document in the Letter Template Library.
    2. Accept the default template name or enter a unique alphanumeric template name.
    3. Select Repeat custom letter template if you want the system to evaluate the letter template for all tax authorities of the letter type when it is rendered in a tax return.
    4. Click Save. The custom letter template displays in the Letter Template Library under the selected letter type.

Important: The font size for imported custom templates saved as a Consent Letter type must be 12 pt or larger per IRS regulations.
